RFQ Details

The RFQ Details dashboard is an easy, ad hoc analysis for downloading your sourcing activity. Each row provides a summary of a request for quote event, including details like event status, created date, assigned buyer, title, country, and more. As a buyer, you can view all request for quote events assigned to you. As a supervisor, administrator, or observer, you can review all request for quote event activity.

RFQ Details report

Column
Description

Fairmarkit RFQ ID

Displays the customer's identification number for the event.

Displays the event's current status.

Created at Date

Displays the date the event was created.

Title

Displays the event Title.

Country

Displays the country assigned to the event. The country is assigned based on the Shipping Address selected for the event. Because Shipping Address is an optional field, it is possible for the Country to be blank (null).

Category Name

Displays the categories assigned to the event.

Awarded at Date

Displays the date the event was awarded. If the event was not awarded, this column is empty.

If you drill into this value, you can review and download a list of events that were awarded on the selected date. This includes a breakdown for each event, including the Status, Created At Date, Archiving Reason, Archiving Note, Cancellation Note, and Awarding Note.

Awarding Note

Displays any awarding notes added when awarding the event. If an event is not awarded to the lowest supplier response, you can select Other for the reason and enter additional awarding text.

Archived at Date

Displays the date the event was archived. If the event was not archived, this column is empty.

If you drill into this value, you can review and download a list of events that were archived on the selected date. This includes a breakdown for each event, including the Status, Created At Date, Archiving Reason, Archiving Note, Cancellation Note, Awarding Note, Country, and Requester.

Archiving Reason

Displays the reason the event was archived. When you archive an event, you can select from a list of predefined reasons.

Archiving Note

Displays any archiving notes that the buyer added when archiving the event. If you select Other for the Archiving Reason, you can enter additional text.

Canceled at Date

Displays the date the event was canceled. If the event was not canceled, this column is empty.

If you drill into this value, you can review and download a list of events that were canceled on the selected date. This includes a breakdown for each event, including the Status, Created At Date, Archiving Reason, Archiving Note, Cancellation Note, Awarding Note, Country, and Requester Title, and Full Name.

Cancellation Reason

Displays the reason that the buyer canceled the event. When you cancel an event, you can select from a list of predefined reasons.

Cancellation Note

Displays any cancellation notes that the buyer added when canceling the event. If you select Other for the Cancellation Reason, you can enter additional text.

Buyer Name

Displays the name of the buyer assigned to the event.

Team Name

Displays the name of the team of the buyer assigned to the event.

Baseline Spend (USD)

Displays your baseline spend on an item, service, category, or in general in Fairmarkit for a specified period of time.

When a Benchmark value is provided, Baseline Spend will reflect the Benchmark value. The Benchmark value may be imported from or calculated based on values in your purchasing application or manually entered on an event.

When a benchmark isn't provided, Baseline Spend will be calculated as the average of supplier responses, excluding any outliers.

If you drill into this value, you can review and download a summary of the event. This includes the RFQ ID (with a link), Request ID, Status, Created at Date, Title, Baseline Spend USD, Cost Avoidance, and Cost Savings.

Identified Savings (USD)

Displays sum of the identified, potential savings for the request for quote event. This value is calculated at the line item level as Baseline - Lowest Bid. This value doesn't include alternative items. For more information, see Identified Savings.

If you drill into this value, you can review and download information about the event. This includes the RFQ ID, Request ID, Status, Created at Date, Title, Identified Savings, and Awarded Savings.

Awarded Savings (USD)

Displays sum of the awarded savings for the request for quote events. This value is calculated at the event level as baseline spend - awarded bid. This calculation only includes values where you saved money. For more information, see Awarded Savings.

If you drill into this value, you can review and download information about the event. This includes the RFQ ID, Request ID, Status, Created at Date, Title, Identified Savings, and Awarded Savings.

Invited Suppliers

Displays the total number of suppliers that were invited to the event. Draft and archived events are not included.

If you drill into this value, you can review and download a summary of the event. This includes the RFQ ID (with Link), Request ID, Created at Date, Status, Title, Requester Title, and Full Name.

Quotations Received

Displays the total number of suppliers that responded to the event. This includes full, partial, and alternative bids. No bid responses are not included.

If you drill into this value, you can review and download a summary of supplier responses to the event. This includes a breakdown for each response, including the RFQ ID (with a link), Title, Email, Title, Domain Name, Sent Date, Submitted Date, Amount Total USD, Status Decoded (Custom Sort), and UUID Link.

Currency

Displays the event's currency.

Requester

Displays the user who requested the event. This is automatically filled if the event was created on the Fairmarkit intake form or if it was included when an event was imported via API or an integration.

Urgency

Displays the urgency (Normal, Rush, or Emergency) set for the event. This value is used to let suppliers know when an event is urgent and needs a faster response.

RFQ Tags List

Displays a list of the tags added to each event.
