Setup in SAP S/4HANA Cloud

For your integration between SAP S/4HANA Cloud and Fairmarkit, you will need to complete some configuration in SAP S/4HANA Cloud. This integration uses the SAP S/4HANA Cloud API, which requires you to explicitly define the SAP S/4HANA Cloud system that you want to exchange data with (communication system) and the type of data you want to exchange (communication arrangement). This topic outlines how to complete this set up for integrations with Fairmarkit.

Note: Specific naming (e.g., communication systems and communication arrangement names) may vary based on your system. The following naming is provided as an example during the process.

Create roles

You will need SAP S/4HANA Cloud access with the following business roles:

  • Administrator: This role will be used to create communication systems and communication arrangements.

  • Employee - Procurement and Manager - Procurement: This role will be used to create purchase requisitions.

Create a communication system

A communication system defines the SAP S/4HANA Cloud system that you want to exchange data with.

See also: For more generic information on creating a communication system, see Creating a Communication Arrangement in SAP S/4HANA Cloud - Creating a Communication System in the SAP Help portal.

For example, Fairmarkit defines the following communication systems:

  • OM484VD: This is a predefined system and cannot be edited.

  • OM484VD_2: You will need to create this system.

  • CUSTOMER_SAP_COM_0193: This is a predefined system and cannot be edited.

Create an additional communication system

Because the Business Partner, Customer and Supplier Integration communication arrangement, which will be used in later steps, requires the Business System to be populated, you will need to create an additional communication system (OM484VD_2).

1

Create a new communication system.

2

In System ID and System Name, enter OM484VD_2.

3

In Business System, enter TEST_SYS.

4

Set all remaining fields identical to the OM484VD communication system.

Create a communication user

Before you can create your communication arrangements, you must first define a communication user. The selected User Name and Password will be used as the BasicAuth credentials for all API calls made to S/4HANA Cloud.

Note: This communication user differs from the team user, which will be used to approve and review purchase requisitions.

1

Open the Maintain Communication Users app.

2

Enter the following information:

  • User Name

  • Description

  • Password

Create communication arrangements

A communication arrangement defines the type of data you want to exchange. When you create a communication arrangement, you can enter a predefined scenario to use as a base for your arrangement.

See also: For more generic information on creating a communication system, see Creating a Communication Arrangement in SAP S/4HANA Cloud in the SAP Help portal.

For example, Fairmarkit defines the following arrangements:

  • SAP_COM_008: Business Partner, Customer, and Supplier Integration

  • CA_SAP_COM_0193: Identity Provisioning Integration

  • SAP_COM_0102: Purchase Requisition Integration

Create the Business Partner, Customer and Supplier Integration (SAP_COM_0008) communication arrangement

The Business Partner, Customer and Supplier Integration is a large communication arrangement that includes both inbound and outbound communication. This arrangement is used for supplier sync, so you can focus on inbound communication and disable all outbound services.

1

Enter the Communication System (e.g., OM484_2).

2

In the Inbound Communication area, enter the User Name

3

In the Outbound Communication area, enter the User Name. Even though you aren't using the outbound service, you need to enter this value.

4

To disable a service, deselect the check box next to the Service Status. Disable all outbound services, including the following:

  • Replicate Customers from S/4 System to Client

  • Replicate Suppliers from S/4 System to Client

  • Replicate Company Addresses from S/4 System to Client

  • Replicate Workplace Addresses from S/4 System to Client

  • Replicate Personal Addresses from S/4 System to Client

  • Business Partner - Replicate from SAP S/4HANA Cloud to Client

  • Business Partner Relationship - Replicate from SAP S/4HANA Cloud to Client

  • Business Partner - Send Confirmation from SAP S/4HANA Cloud to Client

  • BP Relationship - Send Confirmation from SAP S/4HANA Cloud to Client

Create the Purchase Requisition Integration (SAP_COM_0102) communication arrangement

The Purchase Requisition Integration arrangement is used for purchase requisition sync. You will need to enter the following:

1

Enter the Communication System (e.g., OM484_2).

2

In the Inbound Communication area, enter the User Name.
